  • Access to Information

The Act gives you the right to access information held about you. Your right of access can be exercised in accordance with the Act. Any access request may be subject to a fee of £10 to meet our costs in providing you with details of the information we hold about you.

Please note, because for security reasons we do not store complete identifying information or personal email addresses of students, before we provide information about student accounts we will need to verify your identity with the teacher who created that student account. We will do this via the email address that teacher used to sign up to our service. The teacher who creates the student account is the only one who is able to verify the identity of that student. If we are unable to confirm with your teacher that a particular account is indeed yours, then there is no way to verify who the account belongs to, and as such we will be unable to provide access to the information held. This security measure ensures that teachers remain the ones in control of their students' data, and prevents even our own technical team from gaining undue access to personal information about students.

This authentication procedure, requiring confirmation of the identity of a student with a teacher who knows them personally, is in place to offer maximum protection for any students using our service. If you are a student requesting access to your information, we advise you to inform the teacher who created your account of our student identity verification protocol and that we will be contacting them.

As an additional security measure, we will begin to automatically delete student records that are more than ten years old, on the basis that no student will be taught by the same individual teacher for over a decade. This process is currently expected to begin in September 2024, though we reserve the right to change the length of time we hold your data before deleting it. If you wish to retain this data for any reason, it is your responsibility to contact us and make arrangements prior to your data expiring. In most cases, we will be unable to restore data once we have purged it from our systems.

For the purposes of verifying student identities, we will retain all the data in teacher records (not including student data) for a period after the last student record that teacher created has been deleted.
